Introduction to Providersoft (PS)

After accepting a case, you need to use the Providersoft system for several reasons including:

  • Accessing your client's authorization, IFSP, and evaluation documentation

  • Entering your billing claims or fully electronic notes

  • To view upcoming due dates and deadlines (such as progress reports or HR documentation)

  • Sending documentation to the agency securely

Viewing Deadlines & Alerts in PS

  • As stated in the overview training video provided above, the following important deadlines/expirations are shown in Providersoft under the "My Window" tab:

    • Personnel File Due Dates - will show up if your HR-related documentation will soon expire. Action is needed immediately so that your HR file can remain in good standing to continue to receive/remain on your caseload. Please contact HR Director, Vicki Roberts, immediately to resolve: hrdept.brightfuture@gmail.com or 347-915-1112 ext 101

    • Provider Education Hours - will show up if you do not yet have the 10 hours of required professional development for the year. Action is needed immediately so that your HR file can remain in good standing to continue to receive/remain on your caseload. Please contact HR Director, Vicki Roberts, immediately to resolve: hrdept.brightfuture@gmail.com or 347-915-1112 ext 101

    • Progress Report Due - will show up if a progress report is coming due or is overdue. Action is needed immediately so that your caseload can remain in good standing to continue to receive new cases/remain on your current caseload. Please contact the assigned casemanager immediately to resolve. If you are unsure who your casemanager is, please contact Assistant Director Trainee, Briana Brizan at: bbrizan.brightfuture@gmail.com or 347-915-1112 ext 103

    • End Date Flags - will show you if any of your caseload authorizations are soon to expire. When the expiration is approaching, it is imperative that you follow up with the assigned casemanager to find out if the child is aging out of the program or if a new authorization should be expected.     • Other Deadlines/Alerts - there are several other alerts shown in Providersoft for your attention, including: Prescriptions Due, Assigned Units Nearly Depleted, Inactivity, & Lapses. Sending Docs via PS

We use Providersoft to send and receive documentation securely. If you need to submit something to us such as progress reports, session note logs (for telehealth sessions), session notes (for DOH providers only), or HR documents, please click here for step-by-step instructions. 

Entering Claims/Notes in PS

As stated on our Session Note page and Billing & Payroll page, you have the option of completing handwritten session notes OR fully electronic session notes (except OTAs - if you are a OTA, please click here for specifics).
